Note: Only users assigned the Account Administrator role can perform tasks included in this topic.

Managing user accounts

This topic section provides information about creating and managing Bazaarvoice Portal user accounts.

Who can manage Portal user accounts?

Portal users who are assigned the Account Administrator role can manage other user and administrator accounts.

To see who’s assigned the Account Administrator role within your company, sign in to Portal and go to your profile page.

Tip: If you need to be assigned the Account Administrator role or have this role removed, contact another Account Administrator at your company.

Security considerations

We recommend you follow these security guidelines to keep your Bazaarvoice solutions and user accounts safe.

Get started

  1. Sign in to the Bazaarvoice Portal .
  2. From the Portal menu hamburger menu located in the upper-left corner, select Users & Permissions. The Manage users page appears where you can:

    • Create user accounts
    • View and edit user status
    • Manage user accounts
Note: The Manage users page also lets you assign user permissions. For more information about assigning solutions and roles, read Managing permissions.

Create user account

  1. From the Manage users page, select Create new user.
  2. Enter an email address for the new user account.
  3. Specify user account details in the Profile and Access sections.
  4. Select Save.
Note: If you try to create a user account for someone who already has a Bazaarvoice account, you'll receive an error message indicating that the email address is already in use. Use the Filters area of the Manage users page to locate the user and edit account details. If you cannot locate the account, this may be because you and the user do not share any instances. Contact Bazaarvoice Support for assistance.

View user account details

Use the Filters area to narrow the list of user accounts. You can filter by:

  • First name
  • Last name
  • Email
  • Instance

Enter or make selections, and then select Filter.

Select Clear to reset the filter and display all user accounts.

View user account status

Status labels display with user names and in the user account details page. They provide useful information about the user at a glance.

The following table lists possible user status:

Status Description
Active
  • The user has access to the account.
  • If the user requests a password reset through the Forgotten password page, their status remains Active.
  • If an Administrator resets the user account password, their status changes to Password Reset.
Provisioned
  • The user account has been created.
  • The user has not yet set a password.
Locked Out
  • The user account has been locked after five failed login attempts.
  • The user has received an email explaining how to regain access.
Recovery
  • An Account Administrator has reset the user account password.
  • The user must select the link in the password reset email to set a new password and regain access to the account.
Suspended
  • An Administrator has disabled access to the user account.

Edit user account details

You can manage users who have access to the instances for which you are an Account Administrator.

If a user has access to at least one instance for which you are not an Account Administrator, then you cannot edit that user account.

To edit user account details:

  1. Select a user name. The Edit user page appears.
  2. Edit the Profile fields to update the user’s personal information, such as email address, name, or preferred language.
  3. Edit the Access fields to update the Bazaarvoice instances, solutions, roles, and custom permissions the user can access.
  4. Select Save.

For information about granting access to personally identifiable information (PII), refer to Granting access to PII.

Note: When the email address of a user profile is updated, a link to confirm the change will be sent to the new email address. The user must confirm the change before using the new address to sign in to the Portal.

Disable or delete a user account

Disable a user account to prevent a user from logging in.

  1. From the Manage users page, select the user name. The Edit user page appears.
  2. Select Disable user.

Re-enable the user account at any time by selecting Enable user. The user’s account details and password remain the same.

To delete a user account, you must first disable it. When the account is disabled, select Delete user.

Note: You cannot restore a user account after deleting it. Deleting a user's account also removes audit information about the changes the user made in the system. You will also remove saved filters, reports, and logs, but content such as review responses will remain.

Reset user account password

  1. From the Manage users page, select a user name.
  2. Select Reset password.
Note: When you reset a user's password, the user receives a password reset email. If the user remembers their original password after you send the password reset email, the original password will no longer work. They must reset their password using the link in the email.

Common questions

Select View Administrators on the Edit user page.

Open a support ticket to request a report. Bazaarvoice can deliver the report only to Account Administrators.

  • If you are an Account Administrator and need the Privacy Manager role, contact Bazaarvoice Support and open a support case.
  • If you're a user and need the Privacy Manager role, you can request access from Account Administrators with that role. If you’re not sure who your Account Administrators are, you can:
    1. Select the profile button on the upper-right corner of the Portal.
    2. Select Profile.
    3. Select View Administrators.

Managing permissions

Read this section to learn how Bazaarvoice defines instances, solutions, and roles, and how their assignments determine access to features and capabilities.

Understanding permissions: instances, solutions, and roles

The following table summarizes the permissions fields that apply to user accounts.

Permissions Description
Instances Bazaarvoice sites that the user can access. Account Administrators must be assigned an instance to give access to that instance to users they manage. Select Show disabled instances to view instances that have been disabled using Portal Configuration.
Solutions Bazaarvoice offerings the user can access. Account Administrators must be assigned a solution to give access to that solution to users they manage. Account Administrators need to contact Bazaarvoice Support to get access to a new solution.
Roles Capabilities users have in the applications they can access. Account Administrators must be assigned Responder and Privacy Manager roles to give access to those roles to the users they manage.

What are instances?

Bazaarvoice instances are the sites that a user can access. You can manage user accounts with access to those instances for which you are an Account Administrator.

If a user has access to an instance for which you are not an Account Administrator, you cannot edit that user account.

What are solutions?

Solutions determine which Bazaarvoice offerings the user can access. Account Administrators can assign solutions to the user accounts they manage.

Note: Account Administrators can assign only the solutions they have access to.

Special consideration: PII access

Users who are assigned the Reports or Ratings & Reviews solutions may also be assigned PII access permission. For more information, refer to Granting access to PII.

What are roles?

Roles determine the actions users can perform in the applications they can access. Bazaarvoice defines two groups of roles: Portal roles and Workbench roles.

Users can be assigned multiple Portal roles, which:

  • Apply to all instances the user can access (they cannot be instance-specific)
  • Do not apply to Workbench
Example: Sophie is assigned the Portal Account Administrator role and the Reports and Insights solutions. As a result, she has Account Administrator privileges in Reports and Insights. This assignment does not grant Sophie Account Administrator privileges for Workbench reports or dashboards.

Refer to Portal roles for descriptions of Portal roles, required solutions and roles for Portal applications, and capabilities granted with roles assignments.

Workbench roles specify user capabilities in the Bazaarvoice Workbench. Workbench roles are instance-specific, meaning that a user can have different access levels for each instance. In addition, available Workbench roles may be different for each instance, depending on how they were customized.

Refer to Workbench roles for information about assigning Workbench roles and for descriptions of roles and permissions.

Tip: Account Administrators can look up details about each role by selecting View Permissions from the Edit user page.

Portal roles

The following table lists Portal roles.

Why can’t I see some Portal roles?

Some Portal roles don’t appear until a solution is assigned. For example, you cannot see the Reports Administrator or Reports Contributor roles until you’re assigned the Reports or Insights solutions.

    Workbench roles

    Workbench roles determine user permissions for the Ratings & Reviews and Questions & Answers solutions. These roles are separate from the role a user has in Portal. For example, an account can have a User role in Portal but an Administrator role in Ratings & Reviews (Workbench).

    Watch this video to learn more.

    To set Ratings & Reviews or Questions & Answers roles:

    1. Select Ratings & Reviews (Workbench) or Questions & Answers (Workbench) as a solution available to a user. A section called Environments appears.
      Note: The Environments section also appears when either the Privacy Manager or Responder roles are selected, regardless of the solution.
    2. Select both Staging and Production environments to allow the user to access test and live client instances, or limit the user’s access to just one environment.
    3. Under the Workbench Permissions section, select the role the user has for each Ratings & Reviews (Workbench) or Questions & Answers (Workbench) client instance.
      Note: If you cannot edit the role assigned to a user, and a shared username displays beneath the client instance, the user is part of a shared account. For example, the following image shows a shared account, called test_demo_c7, for the test-portal-migration-c7 client instance.
      Shared account
      Shared accounts tie multiple email addresses together in the legacy Workbench user management system. To change the role of a user that is part of a shared account, you must first remove the user from the shared account. If you remove the user from the shared account, the user loses access to existing reports and alerts, and you will have to reconfigure these in Workbench. To remove a user from a shared account:

      1. In the Site column, note the name of the client instance with the shared account. You will need this name later in the process.
      2. Delete the client instance using the trash can icon.
      3. Select Add another account.
      4. Add the client instance from step 1 in the Site column.
      5. Assign the desired role in the Role column.
      6. Select Save.
    4. (Optional) Select View Permissions to display a list of all the permissions assigned to the instance role.
    5. (Optional) Select Edit to update the Answer Contributor ID.
      Note: The Answer Contributor ID assigned in permissions is not the same as your profile page nickname on your website. It’s a hidden, unique ID passed to Bazaarvoice during user authentication that you need to respond to questions using the Workbench Answer Management tool.
    6. (Optional) Use the trash can icon to delete access to a specific client instance in these solutions. The user can still access these client instances in other assigned solutions.
    7. Select Save.

    Badge Management Access the Settings > Contributor Settings page in Workbench.
    BrandAnswers Administrator Provides administrator privileges (with the exception of managing users) for the Connections solution.
    BrandAnswers Contributor Submit responses in Connections.
    Dashboards Access the Charts > Content Dashboards pages in Workbench.
    Default Permission Basic permission that is automatically granted to every role and used to access Workbench.
    Download All Analyst Reports Download all reports in Workbench.
    Executive Summary Access the executive summary report available on the Content > Executive Summary page in Workbench.

    Family Management Modification Create a new family, delete a family, add or remove products within a family, edit a family name, and modify the Expand setting. To perform these actions, select Content > Manage Families page in Workbench.
    Feed Validation Access the Validate Product Feed, BV Pixel / Review Request Tag Testing, and Interaction Feed Testing pages in the Settings > Configuration Settings menu in Workbench.
    Own Alerts Manage your own personal alerts in Workbench.

    Social Commerce permissions

    Note: Managing permissions for some Social Commerce users will continue to occur in the Social Commerce dashboard. Complete these steps to determine where to manage a user's Social Commerce permissions:
    1. In the Social Commerce dashboard, select the gear icon in the top navigation bar and select Settings.
    2. Select Users.
    3. Notice the icon beside a user name.
      • If the icon is a gray gear, continue managing the user's permissions in Social Commerce.
      • If the icon is the Bazaarvoice logo, manage the user's permissions in the Bazaarvoice Portal by completing the instructions in this section.

    We map each Social Commerce brand to a Bazaarvoice instance. Social Commerce permissions are based on the instances to which the user has access.

    To manage Social Commerce permissions, you must be assigned:

    • Portal role Account Administrator
    • Social Commerce Admin access rights
    • Either the same or a higher level of access to the same instances as the user

    Assign Social Commerce permissions

    1. Select Social Commerce as a solution available to the selected user. A section called Social Commerce Permissions appears, including subsections for Social Commerce Brands and Access.
      Note: The Social Commerce Brands subsection lists all the brands the user has access privileges for.
    2. In the Access section, you can assign permissions to the selected user:
      • Limited—A Limited user (default selection) can browse the Dashboard. To allow a Limited user to manage content, you must assign them a role. Refer to Limited user roles.
      • Full—A Full user has access to all features and can configure Dashboard settings.
      • Admin—An Admin has access to all features, can configure Dashboard settings, and can manage users.
        Note: Users who have the Portal role Account Administrator are automatically assigned the Social Commerce Admin access privileges.
    3. (Limited user only) Select the relevant checkbox beside each Social Commerce feature to assign relevant roles and permissions.
    4. Select Save.

    Limited user roles

    Limited users can browse, but cannot publish content unless you assign them one or more of the following roles:

    • Scheduler—User has permission to manage buffers and schedule, re-order, and edit posts using the Upload and Schedule features.
    • Galleries Moderator—User has permission to approve, reject, or tag images while moderating Gallery images.
    • Like2Buy Moderator—User has permission to mark images as Featured while moderating Like2Buy images.
    • Ratings & Reviews Manager—User has permission to comment, like, and delete comments using Ratings & Reviews.

    Granting access to PII

    Note: Bazaarvoice defines personally identifiable information (PII) as any information associated with an identifier that, either on its own or when combined with other readily accessible data, can be used to identify an individual.

    Access to PII is restricted by default for all Portal users.

    Note: The Account Administrator role can grant PII access for any user accounts they manage.

    Manage PII permissions

    As Account Adminstrator, you must:

    • Have Account Administrator privileges.
    • Have access to one of the Reports, Ratings & Reviews, or Questions & Answers solutions.
    • Grant PII access permission to yourself.
    • Agree to a Terms of use statement for each user account.

    Grant PII access permission only to users who have been assigned one of the following Portal solutions:

    • Reports—PII access permission is a requirement for users who need to view reports that include PII.
    • Ratings & Reviews—PII access permission is a requirement for users who need to view review contributors names, IDs, or email addresses.
    • Questions & Answers—PII access permission is a requirement for users who need to view the names, IDs, or email addresses of question or answer contributors.

    Grant access to PII

    1. On the Edit user page, turn on the Access Personally Identifiable Information (PII) toggle which appears under Solutions when either Ratings & Reviews, Questions & Answers, or Reports has been assigned to the user.
    2. When the Terms of use dialog appears, select I agree to grant PII access.
    3. Select Save.

    Support

    You can now access Support Community directly through your Portal account.

    1. Sign in to the Bazaarvoice Portal .
    2. Select the help icon in-app help icon in the upper-right corner. The in-app help modal will appear.
    3. Under More resources, select Access the Support Community link to be directed to the Support Community homepage.
